Position: Senior Administrative Assistant

In this position, the individual will be responsible for creating and modifying documents using Microsoft Office, performing general clerical duties, including photocopying, faxing, mailing, and filing, maintaining hard copy and electronic filing system, ordering office supplies, and setting up and coordinating meetings and conferences. The individual will support staff in assigned project based work, process incoming bills and outgoing checks with AP, greet and direct office visitors, answer office telephone system, respond to direct sales requests for information, forward messages to appropriate staff, assist with review of administrative procedures, and develop systems to assure compliance by all staff. In addition, the individual will be responsible for general office duties such as typing, bookkeeping, flow of correspondence, filing, requisition of supplies, faxing, etc., maintaining a master calendar of in-house meetings, booking travel and hotel arrangements as needed, coordinating materials for meetings, training sessions, and other activities of the organization, and maintaining and updating customer, rep, and account databases as needed.

The individual will receive and distribute all incoming mailing and coordinate outgoing mail, including courier services, postage meter account, and interoffice mail distribution, assist in preparation of materials for the Sales VP and Directors, be the lead person in providing support of mailings or coordinating bulk mailing processes, and provide meeting support as needed (e.g., scheduling conference rooms, coordinating food, logistics). Lastly, the individual will provide administrative support to staff for copying, faxing and large-scale mailings, execute special or continuous research and data analysis tasks, analyze problems, determine approach, compile and analyze data, prepare reports/recommendations, coordinate activities between departments and outside parties, and contact company personnel at all organizational levels to gather information and prepare reports. Work is generally of a critical or confidential nature and assignments may be found in various functional areas.

This position requires a minimum of 4-6 years of related experience and a college degree is preferred. The ideal individual must have proven ability to achieve results in a fast moving, dynamic environment. The individual must be self-motivated and self-directed, however, must have also demonstrated ability to work well with people and have a proven desire to work as a team member, both on the same team and outside of the team. In addition, the individual must have the abilities to work effectively cross-functionally, coordinate priorities and initiatives, troubleshoot and analyze complex problems, and to manage multiple projects simultaneously while meeting deadlines. Excellent communication (written and verbal) and interpersonal skills are required.
